Automatic day-to-day alerts for important events sent to the staff on the Okfit Manager app, browser, email or SMS

New enquiry

  • When: an enquiry is added in Okfit, from the website, or from Google Ads.

  • Manager app: Admins

  • Browser: Admins (only if web push is turned on for the gym)

Enquiry follow-up reminder

  • When: 10 minutes before a follow-up time that is still in the future

  • Manager app: Admins and receptionists

New member

  • When: a member is added

  • Manager app: Admins

  • Browser: Admins (only if web push is turned on)

Membership renewed

  • When: a membership is renewed

  • Manager app: Admins

#

Member assigned to a trainer

  • When: a membership is saved with a trainer

  • Manager app: that trainer

  • Message: "You have been assigned {member name}"

Payment received

  • When: a payment is saved, or a Razorpay / Stripe payment is captured

  • Manager app: Admins and receptionists

  • Browser: Admins and receptionists

  • Message: "Payment of {amount} is received from {member}"

Member check-in

  • When: attendance is saved

  • Browser: Admins and receptionists

  • Message: "{name} has checked-in at {time}". If the membership is expired or frozen, the message is "{name} access denied!"

  • A staff or guest check-in goes to Admins only.

Watched person check-in or check-out

  • When: someone attendance is recorded and a staff user is set to be notified for that person

  • Manager app: that staff user

  • Message: "{name} has checked in / checked out at {time}"

Door access denied

  • When: the door device denies a member

  • Manager app: Admins

  • Message: "{name} was denied door access"

Injury disclaimer signed

  • When: a member signs the injury disclaimer from the link

  • Browser: Admins (only if web push is turned on)

  • Message: "{name} signed the injury disclaimer"

Daily performance report

  • When: 7:00 in the gym's time zone, for the previous day, if day reports are turned on

  • Email: Super Admin email

  • Subject: "Your fitness studio performance report for {date}"

SMS delivery report updated

  • When: the SMS delivery-status job finishes

  • Manager app or browser: Admins

  • Message: "SMS delivery report updated."

Classes

These are skipped when automatic class event notifications are turned off.

Class booked

  • When: a member or enquiry is booked into a class

  • Manager app: the class trainer and the Super Admin

  • Browser: Admins, receptionists, and trainers

  • Message: "Member/Enquiry {name} has been booked to {class} {time} for {dates}"

Class booking cancelled

  • When: a booking is cancelled

  • Manager app: Admins, and the class trainer

  • Browser: Admins, receptionists, and trainers

Class starts in 15 minutes

  • When: 15 minutes before the class

  • Manager app: the class trainer

  • Message: "Your {class} class starts in 15 minutes"

  • An earlier custom reminder (if the gym set one) goes to members only.

Tasks

Task assigned

  • When: a task is assigned

  • Manager app: each person it is assigned to

  • Email: each assignee who has an email login

  • Subject: "Task assigned to you: {task}"

Task completed, notes updated, or deleted

  • When: the task is marked complete, a note is added, or it is deleted

  • Manager app: the person who assigned it and the person it was assigned to

#

Task reminder

  • When: someone taps Remind on a task

  • Manager app: the assigner and the assignee
